Program and Administrative Assistant

Position Summary 

The Asia Foundation (TAF) Philippines office is seeking a professional to serve as the Program and Administrative Assistant for the Promoting Growth, Resilience, Economic Stability and Sustainability (PROGRESS) project. This five-year program is funded by the Australian Department of Foreign Affairs and Trade (DFAT) and implemented by the Boston Consulting Group (BCG), with TAF serving as a subcontractor. 

The Program and Administrative Assistant provides day-to-day programmatic and administrative support to the project team, ensuring smooth office operations, effective coordination of program activities, and compliance with organizational and donor policies. The position serves as a key point of contact for scheduling, logistics, procurement support, and documentation, enabling technical and management staff to focus on program delivery. This position is highly organized, detail-oriented, and comfortable working in a fast-paced, deadline-driven international development environment.

Key Responsibilities 

Primary 

  • Assist in planning, scheduling, and coordinating program activities, workshops, trainings, and meetings, including logistics for participants and venues. 
  • Manage day-to-day office operations, including supplies, equipment, and facilities coordination. 
  • Organize and maintain both electronic and hard-copy filing systems in line with organizational recordkeeping policies. 
  • Support onboarding logistics for new staff, consultants, and visitors, including workspace setup and orientation materials.
  • Support procurement of goods and services in accordance with organizational and donor procurement policies. 

Secondary 

  • Support drafting, formatting, and editing of program documents, reports, presentations, and correspondence. 
  • Coordinate domestic travel arrangements, including flights, accommodation, and ground transportation for staff and visitors. 
  • Maintain program files, trackers, and databases, ensuring accurate and up-to-date records of activities, deliverables, and timelines. 
  • Liaise with local partners, vendors, and stakeholders to support program implementation. 

Qualifications 

  • Bachelor’s degree in business administration, international development, public administration, or related field.
  • Minimum three years of administrative, program, or office support experience with an international NGO, donor-funded project, or development administration preferred.
  • Strong organizational skills with the ability to manage multiple tasks and competing priorities under tight deadlines. 
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with cloud-based collaboration tools. 
  • Familiarity with donor compliance requirements (e.g., DFAT, USAID, FCDO) is an advantage.
